Working Environment and Location
- This position is based in Mexico City (Santa Fe area) and will require on-site work in a hybrid set up.

Purpose and Scope
The Early Scientific Engagement and Publications Coordinator provides high-level administrative and operational support to the Clinical Development and Early Scientific Engagement team at Astellas Pharmaceuticals. This role is critical to enabling effective scientific communications, external engagement activities, and publication planning by coordinating logistics, timelines, documentation, and cross-functional interactions.
Role and Responsibilities
- Coordinate administrative and operational activities related to scientific communications, publications planning, and execution in alignment with internal policies and external regulations.
- Support publication development activities, including tracking timelines, maintaining publication plans, coordinating internal reviews, and managing documentation
- Assist with preparation, routing, and archiving of scientific materials, including abstracts, posters, manuscripts, slide decks, and related correspondence
- Maintain accurate records, trackers, and databases for publications and scientific communications activities External Engagement & Conference Coordination
- Support planning and execution of scientific and medical conference participation, including registration, logistics, scheduling, and materials coordination
- Coordinate external engagement activities such as advisory boards, investigator meetings, scientific exchanges, and collaborative engagements
- Serve as a point of contact for internal stakeholders and external partners related to logistics and administrative coordination Administrative & Scheduling Support
- Manage complex calendars, meeting schedules, and travel coordination for team members
- Organize and support internal and cross-functional meetings, including agenda preparation, materials distribution, and follow-up actions

- Track action items, deadlines, and deliverables across multiple workstreams
- Provide general administrative support, including document management, expense processing, and onboarding support for new team members Cross-Functional Collaboration
- Interface effectively with Clinical Development, Medical Affairs, Regulatory, Legal, Compliance, and external vendors
- Support consistent application of internal processes and standard operating procedures
- Proactively identify opportunities to improve efficiency, organization, and communication within the team
Essential Qualifications
- Associate or bachelor's degree, or equivalent relevant experience
- 3+ years of administrative, coordination, or project support experience, preferably in pharmaceuticals, biotechnology, healthcare, or a regulated environment
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
- High level of attention to detail and accuracy
- Demonstrated ability to adapt quickly to changing priorities and business needs
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
- Fluent in written and spoken business English.
