Astellas’ Global Capability Centres – Overview

Astellas’ Global Capability Centres (GCCs) are strategically located sites that give Astellas the ability to access talent across various functions in the value chain and to co-locate core capabilities that are currently dispersed. Our three GCCs are located in India, Poland and Mexico.

Working Environment and Location

  • This is a permanent role based in our Global Capability Centre in Warsaw, Poland and hybrid working with the expectation for some office presence. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.

Purpose and Scope

  • The People Operations Advisor plays a crucial part in maintaining employee satisfaction by ensuring accurate and timely support to the organization and its stakeholders.
  • The position focuses on HR case management, handling employee queries through a ticketing system, processing HR administration tasks, maintaining employee data, and ensuring timely resolution of requests in line with service levels.
  • The role will work closely with the People Services Operations team, and other stakeholders to ensure compliance with all applicable laws and regulations.

Role and Responsibilities

  • Manage HR-related tickets and employee queries through case management tools.
  • Execute HR administration activities across the employee lifecycle.
  • Update and maintain employee data within HR systems.
  • Support reporting activities and data tasks for EMEA HR Operations.
  • Provide first-line HR support and escalate more complex cases when required.
  • Maintain high standards of accuracy, compliance, and customer service.

Essential Qualifications

  • German and English fluency.
  • Prior experience in HR Operations, HR Shared Services, People Services, or HR Administration.
  • Experience working with HRIS and/or ticketing systems (preferred: SuccessFactors, ServiceNow; Workday, SAP HR, Jira, or similar are also relevant).
  • Strong customer-service mindset and ability to manage a high volume of cases accurately.
  • Ability to connect information, follow processes, and troubleshoot routine employee queries.

Preferred Qualifications

  • University degree in Human Resources or a related field.
  • Experience with benefits administration.
  • Knowledge of Continuous improvement methodology.
  • Shared Services/SSC experience.
